GUIDELINE FOR PROVIDERS MAKING APPLICATION TO HAVE A CPD ACTIVITY VALIDATED

This guideline is for any person or organization wanting to have a CPD Activity validated. The following procedure must be complied with if validation by the SAIIE is required.

1. Every application submitted to the SAIiE for the validation of A CPD activitiY must comprise TWO hard copy sets and an electronic copy on a cd containing the following:

1.1.      Completed ECSA Form ECPD 2 for every activity.

1.2.      Motivational letter supporting the Application and indicating the field of the proposed activity, i.e. industrial engineering theory/practice, management theory/practice, business administration, etc.

1.3.      Course / Conference outline and notes.

1.4.      Presenters resume (CV) - presenters should have proven practical and academic experience and be good communicators.

1.5.      A sample of the course / conference completion certificate to attendees.

1.6.      A sample of the feedback questionnaire from attendees.

1.7.      An agreement to allow a maximum of 2 SAIIE representatives to attend the activity free of charge, for evaluation purposes (refer to 8 below).---- Not applicable to Conferences

1.8.      Proof of payment of fees for the Application (refer to 2 below).

2.    APPLICATION FEES FOR TRAINING COURSES

The following fees are levied for the validation process:

2.1.      R4000.00 for the first course day.

2.2.      R1500.00 for every extra day.

2.3.      Proof of payment must accompany the application form.

2.4.      The payment is non-refundable, whether or not the Application is    successful.

2.5.      Applications should be submitted at least 3 months before the starting date of the Activity.

 

2-A.    applications FEES  FOR CONFERENCES

The following fees are levied for the validation process:

2-A.1.              R2500.00 for the first course day.

2-A.2.              R1500.00 for every extra day.

2-A.3.             Proof of payment must accompany the application form.

2-A.4.              The payment is non-refundable, whether or not the Application is successful.

2-A.5.              Applications should be submitted at least 2 months before the starting date of the Activity.

 

3. RESULTS OF VALIDATION PROCESS

3.1.   SAIIE will conduct an internal assessment of the activity, using appointed Reviewers. Once the reports from the Reviewers are received, a formal written reply will be made to the applicant within a month of the application. CPD credits awarded to the Activity will be advised in the letter, based on the ECSA guideline of 1 CPD credit for every 8 hours of attendance.

3.2.      The Reviewer reports are confidential and will become the property of the SAIIE.

3.3.      The appointed Reviewers will sign a confidentiality clause and will return all documents to the SAIIE on completion of the review.

3.4.      Approval will be provisional until feedback has been reviewed (refer 8 below).

3.5.      A unique CPD number will be allocated to every validated activity.

3-A   RESULTS OF VALIDATION PROCESS --CONFERENCES

3-A.1.              SAIIE will conduct an internal assessment of the activity, using appointed Reviewers, or at a full Council Meeting.

3-A.2               Once the assessment is completed, a formal written reply will be made to the applicant within a month of the application. CPD credits awarded to the Activity will be advised in the letter, based on the ECSA guideline of 1 CPD credit for every 8 hours of attendance.

3-A.3.               A unique CPD number will be allocated to every validated activity.

 

4. NON APPROVAL OF ACTIVITY

4.1.      In the event of the SAIIE not approving the Activity for CPD credits, the applicant may add to the content or introduce changes to the Activity and may resubmit the application within one month to be re-assessed. Each applicant will be allowed to resubmit an application only once. Thereafter it will be considered to be a new application and fees will have to be paid as for any new application.

5.  ATTENDANCE REGISTERS

5.1.      It is the responsibility of the Provider of the Activity to keep a register of everybody attending the activity. The register must provide the name, surname, verification details and contact details of each attendee.

  • A South African ID number and the ECSA registration number will he regarded as sufficient for verification.
  • An e-mail address and telephone number(s) will be regarded as sufficient contact details.

5.2.        On completion of the Activity, the Provider is responsible to forward a copy of the attendance register to the SAIIE Secretariat, within 2 weeks.


6. CERTIFICATE OF ATTENDANCE

6.1.      The Provider will be responsible to issue each attendee a certificate as proof of attendance to the Activity.

6.2.      Registered persons need to attach the certificates to their professional registration renewal application to ECSA.

  • The certificate must display the name, time(s) and date(s) of the Activity, as well as the number of CPD credits that the Activity has been awarded.

 

7. ATTENDEE FEEDBACK

 

7.1.      The Provider is responsible for obtaining feedback from attendees of the Activity. (A sample of the questionnaire must be included in the application).

7.2.      The Provider must make provision to allow a maximum of two SAIIE representatives to attend the Activity, to evaluate it on quality, compliance or any other aspect to ensure the aims and objectives of the ECSA Policy on CPD are achieved.

 

8. PROVISIONAL APPROVAL

 

8.1.      Applications will be flagged as provisionally validated for 3 months until the feedback above (refer to 7) has been received.

8.2.      The feedback will be reviewed and if satisfactory, then the application documentation will be flagged accordingly and the course will be validated for three years from the date that of the first Activity.

8.3.      If the feedback is considered unsatisfactory, the provisional validation will be withdrawn and flagged accordingly.

8.4.      Providers who have their Activities validated for 3 years and during this time make minor changes, additions and enhancements to the content or structure of the Activity without changing the objective must submit the revised programme to the SAIIE before being implemented. A review of the changes will be done by the appointed Reviewers at no charge and if no concerns are raised will confirm that the validation remains in force to the original validation date. This process is to ensure the Activity records at the SAIIE are updated but will not extend the original period of validation.
